Acceptable Use Policy

Effective date: August 15, 2026

This Acceptable Use Policy (“Policy”) applies to use of HelmPilot and other services provided by Algorail AI, LLC (“Algorail,” “we,” “us,” or “our”).

This Policy supplements the applicable Terms of Service.

You may use HelmPilot only for lawful, authorized professional and project purposes consistent with the intended use of the service.

1. Appropriate Use

HelmPilot is intended to help research teams manage ordinary project and grant information, including:

  • proposals and related project documents;
  • milestones and deliverables;
  • project plans;
  • reporting requirements;
  • budgets and budget justifications;
  • project progress and decisions;
  • investigator, collaborator, and institutional contact information; and
  • other information reasonably related to project execution, oversight, collaboration, and reporting.

Users are responsible for ensuring that they have the right to submit information to HelmPilot and to share it with other Authorized Users who have access to the same workspace.

2. Prohibited Data

HelmPilot is not currently designed or authorized for regulated or unusually sensitive personal, research, financial, or government information.

Unless Algorail expressly agrees otherwise in writing, you must not submit, store, or process through HelmPilot:

  • Controlled Unclassified Information (CUI), including Controlled Technical Information;
  • export-controlled technical data or other information subject to ITAR, EAR, or similar restrictions;
  • protected health information or other medical or health information about identifiable individuals;
  • identifiable human-subject research data, including participant-level interview, survey, clinical, observational, or study records;
  • student education records subject to FERPA;
  • Social Security numbers;
  • passport numbers;
  • driver’s-license numbers or comparable government identifiers;
  • bank-account credentials;
  • full payment-card information;
  • personal financial-account information;
  • passwords;
  • authentication secrets;
  • private cryptographic keys;
  • payroll records;
  • employee tax records;
  • employee benefits records;
  • personnel or HR files; or
  • other information requiring security, regulatory, contractual, or compliance controls that Algorail has not expressly agreed in writing to provide.

Project budgets, planned effort, labor categories, and compensation information that appears as part of an otherwise appropriate proposal, budget, or budget justification are not prohibited solely because they relate to an identifiable project participant.

HelmPilot should not be used as a payroll, HR, medical-record, clinical-research, student-record, or regulated-data repository.

If you are uncertain whether particular information is appropriate for HelmPilot, contact Algorail before submitting it.

3. Unlawful or Harmful Use

You may not use HelmPilot to:

  • violate applicable law or regulation;
  • violate contractual, confidentiality, privacy, intellectual-property, or other rights;
  • facilitate fraud, deception, harassment, threats, or other unlawful conduct;
  • distribute malware or malicious code;
  • impersonate another person or organization;
  • intentionally submit false information for the purpose of misleading another person or organization; or
  • assist another person in conduct prohibited by this Policy.

4. Security and Access

You may not:

  • attempt to gain unauthorized access to HelmPilot, another user’s account, another Customer’s workspace, or Algorail infrastructure;
  • probe, scan, test, or exploit vulnerabilities without Algorail’s prior written authorization;
  • bypass or attempt to bypass authentication, authorization, rate limits, usage limits, security controls, or other technical restrictions;
  • interfere with authentication or account-security mechanisms;
  • share credentials with unauthorized users;
  • use another person’s credentials without authorization;
  • introduce malicious, deceptive, or intentionally adversarial content intended to manipulate or compromise HelmPilot’s systems or AI processing; or
  • interfere with security logging, monitoring, or abuse-prevention mechanisms.

Good-faith reports of suspected vulnerabilities should be sent to info@algorail.ai rather than tested against production systems without authorization.

5. Service Integrity and Resource Abuse

You may not use HelmPilot in a manner that materially harms, degrades, or interferes with the service or other customers.

Prohibited conduct includes:

  • intentionally overloading the service;
  • generating excessive automated requests;
  • circumventing usage or resource limits;
  • operating bots, scrapers, or other automated systems in a manner not authorized by Algorail;
  • using HelmPilot infrastructure to attack another system;
  • intentionally causing excessive AI, compute, storage, or network consumption; or
  • attempting to interfere with normal service availability.

Reasonable use of HelmPilot’s intended features, including normal AI-assisted processing of appropriate project materials, is not prohibited merely because it consumes computing resources.

6. Protection of the Service

Except to the extent applicable law provides otherwise, you may not copy or reproduce HelmPilot’s software or proprietary components, or circumvent technical protections intended to restrict access to them.

Nothing in this section prohibits ordinary evaluation of HelmPilot or use of Customer Content and HelmPilot outputs as permitted by the Terms of Service.

7. AI-Assisted Features

HelmPilot uses automated and AI-assisted processing.

You may not intentionally use those features to:

  • generate or distribute malware;
  • compromise systems or accounts;
  • evade security controls;
  • process information prohibited by Section 2; or
  • materially disrupt HelmPilot or another service.

AI-generated or automatically extracted results can contain errors. Users remain responsible for reviewing HelmPilot output before relying on it for consequential purposes.

8. Monitoring and Enforcement

Algorail may use automated or manual measures to detect misuse or security threats and may investigate suspected violations of this Policy or issues brought to our attention.

These measures are supplemental safeguards and are not guaranteed to identify all prohibited information or activity.

Users remain responsible for ensuring that their use of HelmPilot and the information they submit comply with this Policy.

When reasonably necessary, Algorail may:

  • restrict processing;
  • require removal of prohibited information;
  • temporarily suspend access;
  • limit particular features;
  • remove content;
  • terminate an evaluation; or
  • suspend or terminate an account or subscription.

When reasonably practical, Algorail will provide notice and an opportunity to correct an issue before terminating a paid subscription, unless immediate action is reasonably necessary to address a security, legal, operational, or safety risk.

9. Reporting Problems

If you believe HelmPilot is being misused, or if you discover information in HelmPilot that may violate this Policy, contact:

Please do not send prohibited regulated or unusually sensitive information in the report itself unless Algorail specifically instructs you how to provide it securely.

10. Changes to This Policy

Algorail may update this Policy as HelmPilot, its security controls, or applicable requirements evolve.

If a material change affects an existing paid Customer’s obligations, Algorail will provide reasonable notice when appropriate.

The effective date at the top of this Policy identifies the current version.
